Customer Rewards

To encourage your customers to rent more from you, we have created a Customer Rewards system. You define the percentage of each type of income that you want to reward the customer with. For example, you might want to give 1% rewards on rental and .5% rewards on sales and nothing for asset sales. As the customer rents from you, the rewards will automatically accrue in their account. These rewards can then be used on future rentals. You also define the expiration date on rewards. For example, you can set them to expire after 6 months thus encouraging your customers to come back within 6 months to get the benefit. The accruing of the rewards and the expiring of unused rewards are automatically handled by the system. If the customer has any rewards available, the counter person will be given the option of applying the rewards to the current contract.

These rewards can be used for future rentals and you can define the expiration date on the rewards, setting them to be valid for a certain time period, to encourage your customers to come back within the valid time frame to get the benefit.

 

 

From the customer record in File Maintenance> Pricing Tab, you check the box for Customer Rewards Membership entering the customer into the program.

 

 

Cash Customers - Customer Rewards will be accrued on contracts paid in full. There are no rewards accrued on partial payments.

           

      Note: If a cash contract is paid in full and items are returned, then a negative rewards would be deducted from the accrued rewards amount.

 

Account Customers - Customer Rewards will be accrued only on completed contracts.

 

Accrued Button - Will display a list of all contracts the customer has accrued rewards. The Rewards Detail record will list total rewards earned and remaining on the top line, followed by the break down of the rewards by each contract 

 

 

Customer Rewards are calculated at the end of each day when you do your finish close. The customer rewards are not available for customer until the next day.

 

    * Note:  If you close Monthly, then the Customer Rewards would not be available until the next month.


 

 

When a customer accrues rewards, you will receive a message from within the payment screen on a new contract, allowing you to apply the rewards to the contract.

    * Note: You will not have the option of applying less rewards then the amount accrued. If the amount of the rewards exceeds the value of the contract, then the rewards balance will roll over.

 

 

      Note: payment type will be listed as rewards in the transaction payment history through the contract and on the disbursement report.

 

 

 

 GL Entries

 

When rewards are applied to a contract, accounts receivable is lowered and a disbursement account is increased. If you have created a disbursement account with a name that starts with Customer Rewards or Loyalty it will auto choose this disbursement; otherwise it will look for a misc disbursement item or use disbursement #1.

 

 

Refunding Rewards

 

Moving your mouse over the Use Rewards button, will display the rewards amount in the Tool Tip popup. A detailed list of the rewards can be seen in the customer record.

You have the ability to refund customer rewards back to the customers account by simply refund the amount applied.

      Ex. If you take $50 in rewards and $50 in cash and a refund is processed, you first would refund the real monies paid, then you can refund the rewards separately.
